03 · Arrivals

Most names show up on their own.

A new sender writes about a matter: save them straight from the thread, with the name, email, and matter already filled in. A lead signs on: the client arrives in the directory with the new matter. Your team only types when there's something worth adding.

Example: an email from Wendy Whitfield about Johnson v. Midwest Logistics is saved with Add sender to contacts, and a converted intake lead adds Ryan Reibman as the client. Both land in the organization directory.

04 · On the matter

People outlast matters.

Helen Cho handled one claim for you in the spring and another this fall. She's one contact, linked to both files. Each matter names exactly one client, and that's who the matter toolbar shows, who client emails go to, and whose details your letters pull in. The person who called can be someone else entirely.

  • One contact, many matters

    Link the same adjuster, expert, or opposing counsel to every file they're on, and update their number once.

  • One client per matter

    The client is set on the matter itself. The person who called in is kept separately, so a daughter calling for her father never becomes the client by accident.

  • Letters that already know the address

    Documents built from your templates fill in the client's name, address, phone, and email from the contact record.

On real estate matters, each deal also keeps its own parties list, with roles like Buyer, Seller, or Title Agent, linked to the same contacts. Real estate on Legasus

What the directory does today, in plain terms.

Is Legasus a CRM for law firms?

Yes. Legasus keeps a contact directory for your whole firm: clients, opposing counsel, adjusters, witnesses, experts, medical providers, and court contacts in one list. Each contact can be linked to the matters they're part of, and each matter names its client, so the directory and your case work stay connected.

What can a contact record hold?

Name parts (prefix, first, middle, last, suffix, and nickname), as many phone numbers, email addresses, and mailing addresses as you need, each with a type such as work, mobile, home, or personal, plus company, department, job title, and notes. Court contacts can hold the court name and type, division, courtroom, clerk of court, and filing requirements. Attorney contacts can hold a bar number.

Can one person be on more than one matter?

Yes. A contact can be linked to as many matters as they're involved in. An adjuster who handles two of your claims is one contact linked to both, so a new phone number only needs to be entered once.

How is the client different from everyone else on a matter?

Each matter has exactly one client contact. That client is who the matter toolbar shows, who client emails are addressed to, and whose name, address, phone, and email fill into documents. The person who called in is recorded separately, so a family member can make the first call without being set as the client.

Are contact roles a fixed list?

No. Each contact has a primary role you type in your own words, plus as many role tags as you like. Common roles, including Client, Attorney, Adjuster, Witness, Expert Witness, Defendant, Medical Provider, and Insurance Company, get a colored badge in the directory. Anything else shows exactly as you typed it.

How do new contacts get into Legasus?

Three ways. Add someone by hand from the directory. Save the sender of an email with Add sender to contacts, which fills in their name and email and links the thread's matter. Or convert an intake lead into a matter, which adds the client to the directory when the lead has an email address or phone number.

What does contact search look through?

Search matches names, companies, roles, role tags, phone numbers, email addresses, and notes. You can also sort the directory by name, role, email, phone, company, or the date a contact was added, and the directory shows the total count.

How do contacts work on real estate matters?

Real estate matters keep a parties list for each deal. Each party has that deal's role, such as Buyer, Seller, Lender, or Title Agent, and can be linked to a contact in your directory, so the same title agent can appear on many closings under one record.
