Audit trail
A law firm audit trail for the day someone asks.
Months from now, someone will want to know who moved a deadline, who sent that email, or who approved what the assistant drafted. Legasus has already written it down, on the matter, in the order it happened.
Q.Who moved the demand deadline?
- L. ORTEGA:Uploaded “Harbor Imaging records.pdf”8:47 AM
- D. OKAFOR:Changed the demand due date from
Oct 14to Oct 219:12 AM - LEGASUS AGENT:Proposed a task: “Request updated bills”9:14 AM
- M. REYES:Approved.9:15 AM
- L. ORTEGA:Filed “Re: policy limits” to the matter10:02 AM
A.D. Okafor, Oct 7 at 9:12 AM. The old date is still on the record.
01 · Appearances
Everyone who touches a matter is on the record.
It isn't a compliance module someone has to remember to switch on. The same kind of entry is written wherever work happens, whether a person did it or Legasus AI did.
Each entry carries a name, a time, and a plain description. Changes keep the value they replaced.
On behalf of Matters:
Phase moves, key dates, parties, and the fields that decide a case.
On behalf of Intake:
From the first call to the signed retainer, including the leads that never signed.
On behalf of Mail:
What went out, what was filed to the matter, and what failed to send.
On behalf of Tasks:
Reassignments, new due dates, and status changes, with the value each one replaced.
On behalf of Files:
Uploads, renames, downloads, and locks, with the name of whoever did it.
On behalf of Billing and trust:
Invoices and ledger entries. A correction posts as a reversal, so the original stays visible.
On behalf of Legasus AI:
What it proposed, who approved it, and who turned it down.
02 · Read back
Every change keeps its before.
When someone reassigns a task or moves a date, the old value stays next to the new one, with a name and a time. Pick a field and read its history back.

03 · Legasus AI
Legasus AI goes on the record like everyone else.
When the assistant proposes a task or an event, the proposal is recorded, and so is the person who approved or turned it down. When it does the work, the entry says whose yes it was.
- LEGASUS AGENT:Proposed a task: “Request updated bills from Harbor Imaging,” due Oct 18.9:14 AM
- M. REYES:Approved.9:15 AM
- LEGASUS AGENT:Proposed an event: “Mediation prep,” Thu, Oct 16 at 2:00 PM.9:20 AM
- D. OKAFOR:Rejected.9:31 AM
- RECORD:Task created by Legasus Agent · Approved by M. Reyes9:15 AM
A proposal is only a proposal
Until someone decides, it waits for review. The decision and the person who made it are both kept.
No anonymous work
Work the assistant carries out is labeled with the approver's name, so the record never just says “AI did it.”
04 · Hand it over
When someone asks, hand them the record.
Export a matter's trail as a spreadsheet, as a JSON file for your IT team, or as a PDF you can attach to a letter. It's the same history, in the order it happened.
When it gets asked for
- The carrier's renewal questionnaire.
- A client disputes an invoice.
- An associate leaves mid-matter.
- A partner asks what happened on Friday.
- CSVfor a spreadsheet
- JSONfor your IT team
- PDFfor the letter
05 · Questions
The audit trail, on the record.
What firms ask before they rely on it, answered plainly.
What does the audit trail in Legasus record?
Who did what, on which matter, and when. A change keeps the value it replaced, so a moved date shows both dates. Entries come from across the app: matters, intake, mail, tasks, files, billing and trust, and Legasus AI.
Can I see the full history of one matter?
Yes. Each matter has an Audit Trail that lists its changes newest first, with the person, the time, and a plain description. Tasks and files keep their own activity history too, so you can go as deep as the question needs.
Can we export a matter's audit trail?
Yes. Export a matter's trail as CSV for a spreadsheet, JSON for your IT team, or PDF to attach to a letter or a carrier's questionnaire.
Is Legasus AI activity recorded?
Yes. When the assistant proposes a task or an event, the proposal and the person who approved or rejected it are both recorded. Work it carries out is labeled with the approver's name.
Does the audit trail cover intake before a lead becomes a matter?
Yes. Intake activity is recorded from the first contact, including retainers sent and signed, leads converted to matters, and steps that failed, such as a retainer that didn't send.
Who in the firm can see the audit trail?
Anyone in your firm who can open the matter can read its Audit Trail. Records are scoped to your firm, so no one outside it can see them.
Can someone edit or delete an entry?
There's no way to edit or delete an entry from inside Legasus. A correction is a new change, so it appears as a new entry and the original stays on the record.
Be ready before anyone asks.
We'll open a sample matter and read its record back with you: the changes, the approvals, and the export.
(Whereupon, the record stays open.)
